Build around a question
A knowledge system is useful when it helps answer a question or complete a project. Choose one area and start a small collection. Avoid importing everything you have saved before knowing what you will use.
Separate capture from understanding
An inbox temporarily holds links, fragments and questions. During a short review, decide what deserves a note. Write what you learned in your own words and keep the source. A bookmark is a pointer; a useful note explains why the information matters.
Give each note a purpose
Use a descriptive title, one main idea and a few related links. Add an example when the idea is abstract. Connect notes to current projects rather than relying on a folder you may forget to open.
Choose storage intentionally
Notion combines documents, databases and shared workspaces. Obsidian works with local Markdown notes. Choose according to collaboration and file needs. Either can support a simple workflow; the habit matters more than a complex template.
Review for reuse
Once a week, open notes for an active project. Which idea changes your next action? Which source needs checking? Which duplicate can be merged? Maintain useful notes instead of measuring success by their total count.
Keep an exit route
Export a small sample early and inspect its text, links and structure outside the app. Keep appropriate backups. Check Notion pricing or Obsidian pricing when you need optional paid capabilities.
Start small enough to maintain the system on an ordinary week.
